Every feature

The whole platform, in detail.

Everything SipsPOS does, from the bar to the back office. ← Back to the overview

Sell direct — online & to your members

Your own website

A branded homepage at yourwinery.sipspos.com — your story, hours, gallery and featured wines, linking to booking, the club and your shop. Or point your own domain at it and the whole site — shop, booking, member portal — answers on your address, with the certificate handled for you.

Online wine shop

A branded DTC store with cart and card checkout, zone-based live shipping rates, and Canadian DTC shipping rules built in. Members sign in for their discount automatically.

Estate plan

Ship to the door

Carrier-ready CSV export — including ATS Healthcare, a courier many Canadian wineries ship with — plus printable address labels and automatic tracking links, for both club shipments and online orders.

Wine club, end to end

Define membership tiers, then bill dues automatically each cycle to a card on file — straight to your Square or Stripe. Members join from your booking page, switch or cancel their tier, and add a card themselves — no staff effort.

Growth plan and up

Free member accounts

Anyone can create a free account — no purchase needed — to track their orders and bookings. Guests opt in with one tap at checkout or booking, and forms pre-fill once they're signed in (magic link, no password).

Member self-service

Members sign in to see their tier and charges, update their card, fix a declined payment themselves, and shop online at member pricing.

Growth plan and up

Members in control

Members can pause, skip a shipment, or change their billing frequency from the portal — life happens, churn doesn't have to. Paused members aren't billed; skipped cycles don't double-charge.

Growth plan and up

Build-your-own-box

Pre-pick a member's box, or open a curated pool and let them choose their own bottles with per-wine caps. Members can add paid extras at member price — charged to the card on file when selections lock.

Growth plan and up

Gift memberships

Sell a 3-, 6-, or 12-month gift membership at the bar or on your public site. The recipient gets a tokenized redemption link by email; gift-covered cycles bill $0 automatically and convert to a paying member at the end.

Growth plan and up

Shipments & pick lists

Build a per-tier release, generate every member's allocation in one click, and print a cellar pick list plus pack/ship sheets split into pickups and shipments. Stock adjusts automatically.

Catalog import from a URL

Paste your winery's online store URL and SipsPOS scrapes the product list — name, price, image, tasting notes — into an editable review grid. Fix anything, choose which products to import, and your inventory is populated. Great for onboarding or re-syncing a catalog.

Run the tasting room

Fast checkout

Tap-to-add product grid, per-item and club/senior discounts, tips, gift cards, and tax as clean, separate line items.

Receipt printer & cash drawer

Plug in a network Epson or Star thermal printer — receipts print automatically when a sale completes and the cash drawer pops on cash. Reprint any receipt, open the drawer for a no-sale, and it all keeps working offline over your local network. Works alongside your Square or Stripe card terminal.

Put wines on sale

Mark any products on sale by % or $ off (or a set price, with an optional end date) — the sale price shows and rings up everywhere: the register, your shop, and featured wines, with the original struck through.

Bookings with deposits

Customers self-book on your page from a calendar of available slots with per-slot capacity. Optionally charge a deposit or the full fee up front (Square or Stripe), with cancellation windows and one-tap self-cancel links — no more no-shows costing you a tasting.

Walk-ins & waitlist

Seat a drop-in guest on the spot from the Today dashboard, or add them to a digital waitlist when you're full. When a table frees, tap Text ready to send a "your table's ready" SMS, then Seat them. Waiting parties don't count toward occupancy until they're seated.

Sell by the glass

Mark a wine sold by the glass with 5oz / 9oz pours (or your own sizes) at your own glass prices. Selling a glass auto-opens a bottle and depletes inventory by the ounce — five 5oz pours from one bottle, no manual reconciliation.

Tasting flights

Build numbered tasting boards with notes and print a server cheat sheet for every flight you pour.

Tabs & split checks

Run patio service: open named tabs beside the quick sale, add rounds over the visit, transfer a tab to another server, then split the bill evenly or by item into separate checks.

Rich wine profiles

Capture VQA & appellation, a tasting profile, awards and winemaking specs per wine — shown on your shop, used in shop search & filters, on tasting sheets, and on a printable tech sheet for trade buyers.

Customers & gift cards

Customer accounts with club-member, senior, and tour-group flags that auto-apply the right discount — plus gift cards issued and redeemed in-app.

Add a customer mid-sale

Tap + beside the register's customer field to add a guest — name, email, and a marketing-consent tick — without leaving the sale. It dedupes on email, so a regular doesn't pile up as a duplicate, and their discounts apply straight away.

Bundles & mixed packs

Sell a six-pack, a gift trio or a tasting-and-bottle pairing as one item. A bundle prices itself from its components with your package discount applied, and selling one depletes each wine in it — so stock stays honest without anyone doing the arithmetic. Available at the register and in your online shop.

Tasting passport

Guests keep a passport of what they've tasted and mark each wine liked or not, with a reason. Those reactions show on the customer's profile, so staff can pour to a returning guest's taste — and turn into a shoppable follow-up email of the wines they actually liked.

Inventory & wastage

Track stock by bottle and case, flag or block out-of-stock, and account for samples and breakage with wastage reports.

Reports that add up

Daily Z-report, sales by employee, product, group and customer — each with charts and one-click CSV export.

Owner dashboard

An at-a-glance cockpit: revenue and channel mix, wine-club health and recurring revenue, tasting-room conversion, and top wines — each compared to the previous period. New cards for gift-card liability, loyalty points, and allocated-release performance.

Tour Dashboard

A dedicated board for group tours: tour operator accounts with negotiated per-guest rates and prepay/invoice terms, bill on actual headcount at check-in, facility capacity warnings against your fire-code occupancy, status actions (Arrived / No-show / Cancelled / Complete), staff reminders, and a List ⇄ Week view.

One screen to run the day

Today, Calendar, List and Tours live together under Operations. The Today dashboard shows the day's bookings, covers, who's still to check in, and peak occupancy — with heads-up alerts when you're near capacity or a tour's arriving soon.

Manage the day in one tap

Check guests in, mark a no-show, complete, cancel or reopen a booking straight from the Today list. Tour rows carry the Tour Dashboard's own controls — enter the actual headcount and arrive, change status, or take a payment — without leaving the page.

See when you're slammed

An hourly "how busy today" strip and a month calendar tinted green / yellow / red by peak guests against your venue's capacity — so you can staff and book with eyes open. The thresholds are yours to set.

Your hours, everywhere

Set your weekly hours once — one open–close applied to weekdays, weekends, or any day group, with per-location overrides. They show on your booking page and shop, set the busy-heatmap range, and keep guests from booking when you're closed.

Run the business

Your processor, your money

Connect your own Square or Stripe account in one click — card payments settle straight to you, in person, online, and for recurring club dues. Demo mode works with no setup.

Apple Pay & Google Pay

Wallet checkout on your online shop and booking pages — guests pay with a thumbprint instead of digging out a card, which is exactly what you want on a phone at the cellar door. Settles to your own processor like every other card payment.

Catalog in minutes

Import your products from a CSV or Excel file — columns auto-detected, with a preview before anything saves. Export the catalog anytime, and it imports right back.

Switch from another platform

Moving off WineDirect, Commerce7 or Tock? Bring your customers & club members — plus products, gift-card balances and order history from WineDirect and Commerce7 — straight from their CSV exports. SipsPOS pre-maps the columns and shows a preview before anything saves, and migrated club members get a one-click re-authorization email to re-add their card (card details can't transfer between platforms).

Staff scheduling

Build the weekly schedule, see who you're working with, and print it. Every staff member gets a personal "my shifts" view.

Set up for your province

Pick your province at signup and SipsPOS starts you on the right sales tax — GST, HST, PST or QST as your province charges it — and names your own liquor board (LCBO, AGLC, SAQ and the rest) in the compliance pack, not always BC's. The rates are editable starting points, so confirm them with your accountant.

Liquor compliance, sorted

A monthly figures pack — sales and litres by channel, GST/PST collected, and a CRA excise estimate — ready for your provincial liquor-board and CRA filing. Export to CSV.

Books-ready accounting

Export balanced journals straight into QuickBooks, Xero or Sage — daily entries with net sales, GST/PST, tips and refunds mapped to your own accounts, plus a plain sales summary. Or connect QuickBooks Online, Xero, or Sage and let SipsPOS push those same journals automatically — idempotent, so nothing ever double-posts. No more re-keying for your bookkeeper. Plus a built-in time clock with payroll-ready CSV exports (Generic + QuickBooks Payroll) — hours, breaks and overtime, ready for your payroll run.

Campaigns (email + SMS)

Send branded email and text campaigns from one page, with a channel filter — to your members, a club tier, recent buyers, or your whole list. Merge fields, scheduling, and one-click unsubscribe / STOP handling built in; bring your own Twilio for SMS so messages settle to your account.

Loyalty points

Reward every purchase — customers earn points per dollar at the register and online, and redeem them at checkout for an automatic discount. Set the rate, optional tiers (lifetime spend, yearly spend, or club tier earn more), and a per-order cap. Refunds claw points back automatically.

Growth plan and up

Richer reporting

New reports in addition to the daily Z-report: gross margin by product (revenue − COGS with margin %); inventory valuation with dead-stock flags and per-line cost & margin when costs are set; club billing & dunning (collected vs failed, past-due list); club roster & retention (new/cancelled/net, LTV); and tasting/bookings (covers, no-show rate, deposits). All CSV.

Cost & margin tracking

Set a unit wholesale cost on any product (Inventory → product edit). Costs unlock margin on the Inventory valuation report and the Gross-margin report — leave blank for wines where you'd rather not track.

Notification Center

Configurable, manager-defined alerts: pick a trigger (tour arriving, low/out of stock, unfulfilled orders, club past-due) and set its knobs, channels (in-app always on; SMS/email optional), level, and a daily nudge. Edge-triggered — fires once when a condition hits, re-arms only after it clears. Active alerts show in a dismissable bar under the menu; dismissing clears it for everyone at the winery.

Customer communication log

Every booking/order confirmation, cancellation, shipment and tracking email, release invite, and marketing send — plus waitlist & release SMS — is logged to the customer's own timeline, with status (sent / failed / logged) and who it went to. Managers can log a call or note alongside it, for one unified record of every touchpoint with a customer.

Make the wine — the Cellar add-on

A paid add-on for wineries that make their own wine, on the Growth and Estate plans. Everything below is included in it.

Vineyard blocks & harvest picks

For estate wineries that grow their own fruit: record your blocks — varietal, clone, rootstock, area and planted year — and log each harvest pick with its weight, juice volume and grape cost. Logging a pick opens a cellar lot, so the wine traces vine to bottle (the lot page shows the block it came off) and the grape cost flows into its true cost. It's for growing your own fruit, not buying juice — there are no spray, irrigation or phenology records.

Cellar add-on

Vessels & barrel groups

Tanks, bins and barrel groups with cooper, toast and fill year. Each vessel shows what it holds, what those contents are worth, and how full it is — with a fill bar and a warning before you try to rack into something with no room. Carve barrels off a group into a new vessel and the capacity, wine and cost follow pro rata.

Cellar add-on

Lots, from harvest to bottle

Every lot's volume, vintage, status and intended wine, plus a full history — receive, transfer, rack (with lees loss), top up, record a loss, dose an addition, blend, or sell in bulk. A lot split across three vessels reads as one wine.

Cellar add-on

A ledger that always balances

Every millilitre and every cent is a signed entry, and the running totals are proven against the entries — the cellar can't quietly drift out of step with reality the way a spreadsheet does. Operations are append-only, and the ones you can't take back ask first.

Cellar add-on

Work orders for the crew

Plan cellar work on a board — kind, lot, vessel, planned volume, priority, due date — assign it, and cellar hands work their own My work list. Completing a job performs the operation, so the wine moves and the ledger records it in one step, with planned-vs-actual variance and an exception note.

Cellar add-on

Bottling into your inventory

A bottling run draws litres off a lot and creates bottles — into an existing wine, or a brand-new product created for you and held inactive until you've priced and checked it. Bottles, size and fill loss reconcile to the volume drawn, so a run can't quietly lose wine.

Cellar add-on

What a bottle actually cost

Cost enters when you receive fruit or juice and follows the wine through every operation — losses raise the cost per litre of what remains, blends carry cost across proportionally, and bottling divides it into a real cost per bottle: grape, plus packaging (glass, cork, capsule and label, set per product), plus optional barrel amortisation (a barrel's cost spread over the wine it holds — off until you turn it on). That figure lands on the wine and lights up your gross-margin and inventory-valuation reports. Labour isn't in it, and the numbers are the ones you enter — so when some bottles can't be traced to a costed lot, the reports say so, marking the SKU partly costed rather than guessing.

Cellar add-on

Bulk wine, in and out

Buy juice or bulk wine with its cost and supplier attached, or sell surplus in bulk with the counterparty and value recorded — so bulk trade reaches your books instead of living in someone's inbox.

Cellar add-on

Built for winery reality

Keeps selling offline

Lose the internet mid-pour? The register keeps taking cash sales and syncs them the moment you're back online — no lost tickets.

Branded to your winery

Match your colors, logo, and fonts — or just point us at your website and we'll pull your brand in automatically, across the POS, your public site and your shop.

Lock it to your network

Optionally restrict the staff backend to your tasting-room and office IPs, so the register and admin can't be reached from anywhere else.

Secure & transparent

PCI-compliant payments through Square & Stripe — we never store card numbers. Encrypted data, automatic backups, role-based PIN access, and your data exportable anytime. See our security & trust page and live system status.
